This feature is available only to administrators in the institution with the role "User Manager".

The user management feature enables administrators (with the appropriate role) to set up and manage users for their organization within Web of Science Research Intelligence. Administrators can create new users, grant users of other Clarivate systems access to Web of Science Research Intelligence, edit user names, and review all changes made to user accounts of their institution.
To open the User Management section, select Admin from the Navigation Menu, and select User Management from the menu.
Management Tab
In the Management section you can add, edit and remove users.
Add users - To add new users who will have access to Web of Science Research Intelligence, click the Add User button.
To add an individual user, select “Manually add user” and click Next.
Enter the User ID (organizational email address). There are four possibilities:
- User does not exist in the Clarivate system - You can create the user, and they will automatically be granted access to Web of Science Research Intelligence.
- User exists in the Clarivate system and already has access to Web of Science Research Intelligence – no further action required.
- User exists in the Clarivate system but does not have access to Web of Science Research Intelligence - You can grant access to the user.
- User exists in the Clarivate system but cannot be granted access to Web of Science Research Intelligence - Contact Support for assistance.
To add multiple users, select “Import users” and click Next.
- Download the CSV template to ensure all required columns are included.
- Enter the user details for users you want to grant access to – up to 10,000 users per file:
- User ID (institutional email) - up to 100 characters
- First name - up to 50 characters
- Last name - up to 50 characters
- File requirements:
- CSV format (.csv)
- Maximum file size: 2 MB
- Enter the user details for all users you want to grant access to:
- User ID (institutional email) - up to 100 characters
- First name - up to 50 characters
- Last name - up to 50 characters
- You can upload using Browse file or drag & drop.
- If needed, click the delete icon to remove the uploaded file and upload a new one.
- After a successful upload, click Add users to begin the process.
- The job will run in the background. Once the job is completed, you will receive an email with the user upload status: successful, partial or failed. The email includes the list of users for upload, and in case of a partial upload the failed users will be indicated. You can also review the results in the Change History tab. If a user does not appear it means their upload failed at the initial step.
Note: Newly added users will receive a welcome email with a link to log in to Web of Science Research Intelligence.
Additional functions:
Search Bar -Use the search bar to search for a specific user by entering their User ID (organizational email address).

Results Count and Filters – The number of users retrieved. You can refine the results using the available filters:
Created Date - The date the user was created. For existing users, this date is earlier than the date on which they gained access to Web of Science Research Intelligence.
Modified Date - The date the user was last modified.
List of Users - You can browse users by using the pagination bar at the bottom of the table, change the number of results per page, and navigate to other pages

Edit - When you hover over a user, you see Edit and Remove icons.

Edit enables you to update the following user details:
- First and last name - Update the user’s displayed name.
- User role - Assign or remove roles to a user to grant access to restricted product areas. (For more information click here)

- Remove enables you to remove a user’s access, which will prevent them from logging into Web of Science Research Intelligence. The user will no longer appear in the list of users. This will not affect access to other Clarivate products and will not delete the user from the Clarivate system. You can grant them access again if needed, as described above.

Sort - You can change the sort order of the results. Available sort options are:
- User ID - Sort the list alphabetically in ascending order (A-Z) by User ID (organizational email address).
- First Name A-Z / First Name Z-A - Sort the list alphabetically in ascending or descending order by First Name.
- Last Name A-Z / Last Name Z-A - Sort the list alphabetically in ascending or descending order by Last Name.
User Roles

Assign roles to allow the user to manage and update organizational data (In the Web of Science Institutional Data Manager). The available roles are:
- Researcher Admin - Enables to edit researcher profile name and department affiliation.
- Organization Admin - Enables to edit department details and manage the organizational structure by creating departments and moving them in the hierarchy.

Single Sign‑On (SSO)
Users can also log in to Web of Science Research Intelligence using SSO, which allows seamless access and authentication through their institutional credentials.
To enable SSO access, your institution must first submit a request here to activate SSO for Web of Science Research Intelligence.
Note: Currently SSO is supported for institutions whose authentication systems provide an email address as part of the sign‑in response. Some institutions use other formats for identifying users, and these cases are not supported yet. We will support additional unique user identifier formats in a future release.
Change History Tab
In the Change history section you can view all changes made to users in your organization over the past six months.
The table displays the time of the change, the user that was changed, the action taken, the values that were updated (when applicable) and who made the changes.
The following is a list of possible actions:
- Profile updated - User name was changed
- User created - A new user account was added to the system
- User access granted - An existing user was given access to Web of Science Research Intelligence

User access removed - The user’s access to Web of Science Research Intelligence was removed
- Search Bar - Use the search bar to search for a specific user by entering their User ID (organizational email address), and view changes to that user.

Filter - You can refine the search results using the available filters:
- Date - Use the date filter to narrow results to changes that occurred during a specific date range.

Status - Use the status filter to filter by the action status: Success or Failed.
