Note: This feature is available only to administrators with the role "Researcher Admin”. An admin can only edit their own organization’s data.
A user admin can set up users with these roles.
The Researcher Management page allows you to search, filter, view and manage researcher data of researchers associated with your organization. It provides a centralized view of researcher metadata and publication activity, helping you maintain accurate and consistent institutional researcher profiles.
Page Overview
This page displays a list of researchers affiliated with your organization, along with key details such as department affiliation, research topics, publication count, and researcher identifiers. You can refine the list using the search bar or filters, review individual researcher records, and make changes where needed.
The researchers' affiliation is rooted either in their latest publication or was self selected by them (if this is a Claimed researcher profile). If the affiliation is incorrect, check if the latest publication linked to the profile is correct.
1. Navigation
At the top of the page you’ll find Page tabs:
- Researcher management: Shows the researcher list and actions.
- Change history: Allows you to review recent changes made to researcher data.
2. Search
You can quickly find a specific researcher by starting to type their name. The results update based on the entered text. You can clear this selection by clicking on the Reset option and return to the full list.
3. Filters
Here you can see the total number of researchers based on your selection. This count updates dynamically as filters are applied or removed.

You can narrow down the list using multiple filters:
- Department – Limit results to researchers from specific organizational units
- Publication years – Filter researchers based on the years in which they published. This filter is set by default to display researchers who published in the last 5 years.
- Profile status – Identify profiles by their status, Claimed or Unclaimed. A Claimed researcher profile means the researcher, as a user, has access to this profile and can manage the data on it. An Unclaimed profile is a an algorithmically generated author record from a set of publications likely authored by the same person.
- Highly Cited Researcher – Use this toggle to show only Highly Cited researchers in the results. Highly Cited Researchers have published multiple papers that rank in the top 1% by citations for their field(s) and year in the Web of Science Core Collection over the past decade, demonstrating significant and broad influence in their field(s). Click on the researcher card to see further breakdown by years and categories.
- Research topics – Filter by the researcher’s areas of expertise. The list shows the top 3 micro level Research Topics this researcher is tagged with, aggregated from content related to the researchers (see more information here). Click on the researcher card to see more information.
- Reset filters – Clear all applied filters at once.
4. Researcher List
The main section of the page is a list of researchers affiliated with your organization, based on the most recent publication or self-selection in their Web of Science Researcher profile.
The data available for researchers is the following:
- Name: The researcher’s full name
- Department: The department affiliation associated with the researcher
- Research Topics: The top 3 micro level Research Topics this researcher is tagged with.
- Publications: A count of publications indexed in the Web of Science Core Collection
- Publication Years: The range of years during which the researcher published
- ORCID: The researcher’s ORCID identifier, if available
- Researcher ID: The Web of Science researcher identifier
- Profile Status: Identify profiles by their status, Claimed or Unclaimed
- Actions: There are 2 action icons that appear when hovering – Edit the researcher data and Manage Publications. See Manage Publications for more information.
Any click on a researcher row opens the researcher card for more information such as additional Research Topics, selected publications or grants and a link to the Web of Science profile.
5. Table Controls and Pagination
Located at the bottom of the table:
- Rows per page selector – Choose how many researchers are displayed at once, up to 50
- Current researchers indicator - Shows which researchers you are currently viewing
- Current page indicator and page navigation– Shows which page you are currently viewing and allows you to move between result pages (Previous / Next))
